Daily field sales report: a simple template that managers actually read
A daily report should take a manager two minutes to read and the field team no time at all to prepare. Most daily reports fail on both counts. Here is a structure that works, with an example you can copy.
The five parts of a useful daily report
- Headline numbers. Sales or collections today, against the daily target.
- Activity. Visits completed, new clients, quotes sent.
- Money. Cash and bank balances, and expenses, for teams that handle money.
- Needs attention. Stalled deals, clients going quiet, low stock or problems.
- Coming up. Key dates and follow-ups for the next few days.
What to leave out
- Long descriptions of every visit. Put details in the client record, not the report.
- Numbers nobody acts on. If a figure has never changed a decision, drop it.
- Anything that has to be retyped from another system.
Template
Daily update: [Company] [Date] TODAY Sales: [amount] (target [amount], [x]%) Visits: [n] completed, [n] new clients Quotes sent: [n] worth [amount] MONEY Cash on hand: [amount] Bank: [amount] Expenses today: [amount] ([main categories]) NEEDS ATTENTION - [Deal / client] - [what is needed] - [Low stock item] - [quantity left] COMING UP - [Date] - [follow-up or key date]
Worked example
The figures below are invented to show the format only.
Daily update: Northgate Distribution, 6 October TODAY Sales: $4,820 (target $5,000, 96%) Visits: 23 completed, 3 new clients Quotes sent: 4 worth $2,150 MONEY Cash on hand: $1,240 Bank: $18,600 Expenses today: $86 (fuel, airtime) NEEDS ATTENTION - Hillside Pharmacy - quote 9 days old, call today - 500ml product - 12 cases left in stock COMING UP - 8 Oct - Riverside Stores order review
How often, and to whom
Send it at the same time every day, to the same people, in the same format. Consistency is what makes a report easy to read. Owners and directors usually want the daily summary; managers also want the "needs attention" list in detail.
Let the report write itself
If someone spends an hour each evening adding up messages and spreadsheets, that is an hour not spent selling or coaching. In Wayfen, the daily update is built from what the team logged during the day: sales, collections, expenses, balances and key dates, all totalled. A manager checks it and sends it to WhatsApp or email in one tap.
