How to choose a field sales app: 12 questions to ask before you buy

A good field sales app pays for itself in the first month: fewer wasted trips, faster follow-ups and numbers you can trust. A poor one becomes another chore your field reps avoid. These twelve questions will help you tell the difference before you spend money, whatever your industry.

1. Does it work with no signal?

Field reps spend much of the day in places with weak or no network: rural routes, basements, warehouses, busy markets. Ask whether visits, orders, photos and notes can be saved offline and sent automatically later. Then test it: switch the phone to airplane mode, log a visit, switch it back and check that the visit arrives.

2. Can managers trust that visits really happened?

A visit typed into a spreadsheet at the end of the day proves very little. Look for visits that are checked against the client's location with GPS, with the time recorded automatically. This protects honest field reps as much as it helps managers. Our guide on tracking field reps fairly explains how to introduce it without damaging trust.

3. How fast can a field rep log a visit?

If logging a visit takes more than about thirty seconds, it will be skipped on busy days. Count the taps. The best apps let a field rep record a visit, an order or a follow-up in a few taps, or simply by speaking.

4. Is the pricing per user or per company?

Per-user pricing looks cheap for three people and expensive for thirty. Work out the total monthly cost for your team today and for the team you plan to have next year. Check what is included and what costs extra: reports, integrations, support and storage are common add-ons.

5. Does it speak your team's language?

Field reps work faster and make fewer mistakes in the language they think in. If your team speaks more than one language, check that each person can choose their own, and that reports and documents still come out correctly.

6. Can field reps quote, invoice and take orders on the spot?

A sale is easier to close when the quote is in the client's hands before the field rep leaves. Look for quotes, invoices and delivery notes built from your own price list and sent as a PDF from the phone.

7. Does it track stock and collections, not just visits?

If your team carries stock or collects payments, the app should show stock on hand, record what was sold and collected, and add it all up at the end of the day. Our guide to van sales and cash collections shows why this matters.

8. What do managers see each day?

Ask to see the manager's screen, not just the field rep's. You should be able to see who is working, visits against plan, deals that are stuck and clients going cold, without exporting anything. A good daily field sales report should take minutes, not an evening.

9. Can you get your data out?

Your client list and sales history belong to you. Check that you can export to Excel and PDF at any time, and whether the app connects to your accounting system so sales do not have to be typed twice.

10. How long does setup really take?

You should be able to add your team, import clients from a spreadsheet and start the same day. Long setup projects usually mean the app is hard to use, and hard-to-use apps are abandoned.

11. Can you try it with your real team first?

Demos always look good. A free trial with your own field reps, clients and routes tells you far more. Choose a week with normal work and ask the team what they think at the end of it.

12. Who helps when something goes wrong?

Ask how support works, in which hours and through which channels. A team in the field needs answers quickly, ideally on the channel they already use, such as WhatsApp.

A simple scoring checklist

Score each app from 0 to 2 on every question above: 0 means no, 1 means partly, 2 means yes. Anything under 16 out of 24 will probably frustrate your team. Give double weight to the questions that matter most in your business, for example offline use for rural routes or stock for distributors.

How Wayfen answers these questions

Wayfen works offline and syncs automatically, checks every visit with GPS, and lets field reps log a visit by tapping or speaking, in 17 languages. Field reps send quotes, invoices and delivery notes from the phone, check stock and request approvals on the road. Managers see a live overview, get reports in PDF and Excel, and can connect Xero. Pricing is flat per company, never per seat, and you can try everything free for 14 days with up to 5 people.

Frequently asked questions

What is a field sales app?

A field sales app is a phone app for teams that work away from the office. Field reps use it to clock in, log visits, take orders, send quotes and record collections, and managers use it to see the day's activity and results in one place.

How much does a field sales app cost?

Prices vary widely. Many apps charge per user per month, which grows quickly as the team grows. Others charge a flat price per company for a team size. Compare the total monthly cost for your whole team, including setup and add-ons.

Does a field sales app work without internet?

The good ones do. Field reps should be able to log visits, orders and notes with no signal, and the app should send everything automatically when the phone reconnects. Test this before you buy.

How long does it take to set up a field sales app?

A simple app can be running the same day: add your team, import your clients from a spreadsheet and start logging visits. If a supplier talks about weeks of setup, ask why.
